Fleet compliance management system

Simplify fleet compliance with automated solutions

Automate the collection of driving data for Fringe Benefits tax (FBT) filing with fleet management software from Inseego. Streamline RUC management with our electronic Road User Charges integration.

Don’t overpay on Fringe Benefits tax

To minimise your Fringe Benefits tax bill, you need to provide the Inland Revenue Department (IRD) with logbook records detailing business trips. Our fleet management solution makes it simple for employees to tag trips as business or private, doing away with the need for a lot of tedious and error-prone paper logbooks.

Road User Charges (RUC) integration

Our RUC system manages and automates your road user charges, using GPS data to calculate vehicle mileage and also digitally displaying the associated RUC licence in the vehicle. Inseego delivers this solution using a NZTA certified eRUC provider who has conducted extensive testing throughout New Zealand to ensure superior reliability and accuracy.

If your vehicles go off-road, Inseego makes it easy to claim back your tax on those kilometres with automatic claim and refund management.

Frequently asked questions

What is a Road User Charge (RUC)?

In 2012, the NZ Ministry of Transport introduced road user charges (RUC) for vehicles that aren't taxed directly at the pump, like heavy and light vehicles that use diesel.

Vehicles powered by petrol, CNG and LPG don't have to pay RUC because these fuels are already taxed at the source. This includes most cars and small vehicles.

The revenue from road user charges goes into the National Land Transport Fund (NLTF), which pays for road improvements and maintenance, public transport, and road safety.

Who needs to pay RUC charges in New Zealand?

All vehicles that meet the following criteria must pay RUC charges:

  • Vehicles that have a manufacturer's gross laden weight of 3.5 tonnes or more
  • Vehicles that use diesel, LPG, CNG or any other fuel not taxed at the source/pump

These charges are paid to the NZ Transport Agency and enforced on the road by the NZ Police. RUC compliance requires commercial vehicles to have the correct RUC documents on display at all times to avoid a fine.

Operating without the required RUC documentation to support your claims puts you at risk of incurring fines of up to $3,000 for individuals and $15,000 for businesses.

What is Fringe Benefits tax (FBT)?

FBT is a tax paid by employers who provide certain benefits to employees that are not subject to regular income tax. For example, FBT is paid on company cars that are available for personal use by employees.

How do I introduce GPS fleet tracking to my team?

It’s good you are planning to introduce it to the team; this is an important step in improving the success of deploying GPS vehicle tracking across your fleet. Honesty and transparency will help clear up any misunderstandings they may have about fleet tracking.

Firstly, try to anticipate what questions they may have about GPS tracking. Some questions they may have include: Does management not trust us? Will it be used to punish or overwork us? Is it legal? Is it fair? What information is being collected, and will drivers have access to their data?

While GPS fleet tracking is commonly used across both private and public fleets, field service workers will want to know how the technology will apply to them specifically. Reassure them the focus is on improving overall business efficiency, ease of management, minimizing paperwork and reducing operating costs.

These benefits of GPS fleet tracking help employees too, in several ways:

  • Creating a more profitable business increases job security
  • A driver’s safe, efficient performance behind the wheel can now be proved (and rewarded) with GPS reports
  • Vehicle location trackers can minimize the need for paper logbooks and reports
  • Supervisors can now track vehicles and see fleet activity in real time, improving coordination of resources and reducing interruptions to drivers with ‘where are you’ calls
  • Drivers can monitor and self-manage their safety performance
  • Managers can protect drivers from false damage claims or liability in the event of an accident
  • Location data can help speed up emergency response
  • Tracked maintenance information vehicles can reduce the chance of breakdowns

Work with your team to develop fair policies that improve adoption and reduce the chance mobile workers will feel ‘picked on’ or that it is an invasion of their privacy.

Inseego consultants can help you to roll out GPS tracking across your business, with advice and suggestions on ways to implement fleet management software that is best for you, your business and your drivers.

How do I know if fleet tracking is right for my business?

If your business has money invested in mobile assets — vehicles, people or assets — then GPS fleet tracking is definitely something you should consider. GPS tracking solutions help you make sure you are using all your mobile resources efficiently.

Without a fleet tracking system, a business could be losing money with under-utilized assets, wasteful driving behavior or poor job scheduling. GPS fleet tracking makes it easy to identify areas of your business that you can optimize, boosting productivity and reducing running costs.

Fleet tracking can also improve safety, monitoring driver behavior in real time and encouraging staff to be more responsible.

Yes, you can update your plan to include additional fleet vehicles (or other GPS tracked assets) at any time.

Simply contact customer support to let us know and we’ll organize the change (and can schedule the installation of the tracking devices if you like).

What GPS tracking hardware can be supplied?

For most vehicles, a standard, wired on-board diagnostics (or OBD-II) plug is fitted, however other types of GPS tracking devices are available including battery powered trackers for non-powered assets (such as containers or trailers).

Let us know if you have specific data collection requirements — in most cases the standard GPS tracking hardware is sufficient for the needs of everyday fleet management.

Is GPS tracking expensive?

Pricing for GPS fleet tracking depends on the specific requirements of your solution, and the number of assets to be tracked.

Our product specialists will work with you to understand your business requirements so they can recommend the most suitable solution for you. You also have the option to purchase the hardware, or rent if that suits your cash flow better.

Inseego is focused on delivering a positive ROI through savings on fuel costs, vehicle maintenance, efficiency and more. This means that in time the fleet management system can actually pay for itself, making it a very viable option for your business.
